Office Assistant

Who are we seeking:

We are looking for an Office Assistant who will ensure smooth office operations and support administrative, HR, and finance processes. This role requires strong organizational skills, clear communication, and a collaborative spirit.

You will support a headquarters team of around 20–25 people on-site, as well as facilitate communication and coordination with colleagues working from other locations and coworking spaces.

Your day-to-day tasks:

Team & Office Support

  • Provide comprehensive administrative and logistical support to ensure smooth daily office operations

  • Handle calls, mail, office supplies, and ad-hoc requests

  • Support onboarding of new joiners and day-to-day office needs

Financial & Administrative Support

  • Manage internal orders, purchase requests, and expense processes

  • Assist in preparing financial reports and handling invoices

  • Provide administrative support for HR and finance processes

Travel & Expense Management

  • Coordinate domestic and international travel (flights, hotels, transfers)

  • Process and reconcile travel and expense reports

  • Manage logistics for teams visiting headquarter (hotels, local arrangements)

Vendor & Facility Coordination

  • Liaise with external service providers (couriers, office services, maintenance)

  • Oversee office equipment maintenance and cooperate with coworking management

  • Supervise office equipment: manage inventory, handover and collection of equipment, and ensure proper documentation and protocols for movable assets

  • Ensure the upkeep of the office, including cleanliness, security, and coordination with building services and maintenance staff

  • Implement and ensure adherence to office procedures

Event Planning & Execution

  • Organize company meetings, trainings and worjshops

  • Plan and execute team and business events (venue, catering, suppliers, logistics)

  • Assist in coordinating integration activities and internal engagement initiatives

What makes you a great fit?

  • University degree or a student in the final years of study (4th or 5th year)

  • Strong organizational skills and ability to work independently

  • Excellent communication and collaboration abilities

  • Accuracy and attention to detail in daily tasks

  • Basic understanding of document circulation principles

  • Proactivity, problem-solving skills, and the ability to maintain confidentiality

  • Professional attitude, high energy, and flexibility

  • Confident use of productivity tools (e.g., Google Workspace) and basic office equipment

  • Fluency in both Polish and English
